At Horizon Search, Inc. (d/b/a CoachFinder.ai) ("Company," "we," "us," or "our"), we are committed to protecting the privacy and security of our coaches, clients, and visitors. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our website at www.coachfinder.ai, our mobile applications, and our AI-assisted coaching platform (collectively, the "Services").
By using our Services, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

1. Information We Collect
We collect different types of information depending on whether you use our Services as a Client (seeking coaching) or as a Coach (providing coaching services).
1.1 Information from All Users
- Account Information: Name, email address, password, and profile photo.
- Communications: Messages sent through our platform, support inquiries, and feedback.
- Technical Data: IP address, browser type, device identifiers, operating system, and usage data collected via cookies and similar technologies.
1.2 Information from Clients
- Coaching Preferences: Goals, focus areas, preferred coaching styles, and availability.
- Session Data: Booking history, session notes (if shared by your Coach), and progress tracking.
- Payment Information: Billing address and payment method details (processed securely by Stripe; we do not store full card numbers).
1.3 Information from Coaches
- Professional Profile: Biography, certifications, credentials, areas of expertise, education, coaching methodology, and profile photo/video.
- Verification Documents: Government-issued ID and certification documents (for identity and credential verification).
- Financial Information: Payout details (bank account or payment processor information) for receiving earnings.
- Earnings Data: Session history, earnings, commission deductions, and payout records.
- Availability: Calendar integration data and scheduling preferences.
1.4 Session Recordings and Transcripts
With explicit consent from BOTH the Coach AND the Client, we may record and transcribe coaching sessions to provide AI-generated summaries and insights. Recording features are opt-in on a per-session basis. Either party may decline recording, and the session will proceed without it.
2. How We Use Your Information
We use collected information to:
- Provide Services: Create accounts, facilitate coach-client matching, enable session bookings, and process payments.
- AI Features: Generate session summaries, identify growth patterns, and provide personalized insights (only with your consent for recordings).
- Communications: Send booking confirmations, reminders, platform updates, and respond to inquiries.
- Payments: Process Client payments and Coach payouts.
- Safety & Security: Prevent fraud, verify identities, enforce our Terms, and protect our community.
- Improvement: Analyze usage patterns to enhance our Services (using aggregated, de-identified data).
- Legal Compliance: Meet legal obligations, respond to legal requests, and protect our rights.
3. AI Features and Your Choices
3.1 Session Recording Consent
Our AI recording and transcription features require explicit consent from BOTH the Coach AND the Client before each session. A consent prompt will appear at the start of applicable sessions. Either party may decline, and the session will proceed without AI recording.
3.2 AI-Generated Content
Session summaries, insights, and recommendations are generated by artificial intelligence. While we strive for accuracy, AI outputs may occasionally contain errors or may not fully capture session nuances. Users should review AI-generated content and use their own judgment.
3.3 AI Model Training (Opt-In Only)
We may use de-identified, aggregated data to improve our AI models. We will ONLY use your identifiable session transcripts for AI training if you provide explicit opt-in consent in your Privacy Settings. You may withdraw this consent at any time.
4. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, and protect the security and integrity of the Services. Retention periods may vary depending on the type of data and the purpose for which it is processed.
- Account Data: Retained while your account is active. After account deletion, we may retain certain records for up to 7 years for tax, accounting, and legal compliance, and longer if required by law or subject to a legal hold.
- Session Recordings & Transcripts (if enabled): Retained until you delete them or request deletion, subject to legal, security, and compliance retention requirements and any applicable legal holds.
- Payment Records: Retained for up to 7 years for financial and tax compliance.
- Technical Logs: Retained for up to 2 years for security, fraud prevention, and reliability purposes.
6. Your Rights and Choices
6.1 Access and Portability

6.2 Correction
You may update your account information at any time through your profile settings.
6.3 Deletion
You may request deletion of your account and personal data by contacting privacy@coachfinder.ai. We may need to verify your identity before processing your request. Note that some information may be retained for legal compliance, security, fraud prevention, or other purposes described in Section 4.
6.4 Recording Preferences
You may decline session recording at any time. Your preference is respected on a per-session basis.
6.5 Marketing Communications
You may opt out of marketing emails by clicking "unsubscribe" in any marketing email or adjusting your notification settings.
7. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have additional rights:
- Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected.
- Right to Delete: Request deletion of your personal information, subject to certain exceptions.
- Right to Correct: Request correction of inaccurate personal information.
- Right to Opt-Out of Sale/Sharing: We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
- Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

8. International Data Transfers
CoachFinder.ai is based in the United States. If you access our Services from outside the U.S., your information will be transferred to and processed in the United States, where data protection laws may differ from your jurisdiction.
For transfers from the European Economic Area (EEA), United Kingdom, or Switzerland, we rely on Standard Contractual Clauses approved by the European Commission.
9. Children's Privacy
Our Services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a child under 18, we will promptly delete it.
10. Security
We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These measures may include encryption in transit, access controls, monitoring, and secure payment processing via our payment providers.
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
12. Health and Therapy Disclaimer
CoachFinder.ai is a professional development and coaching platform. Our Coaches are NOT licensed medical professionals, psychiatrists, or therapists (unless separately disclosed in their credentials).
- Our Services are not intended as a substitute for professional medical advice, diagnosis, or treatment.
- We are not a "Covered Entity" under HIPAA. Do not share sensitive Protected Health Information (PHI) during sessions.
- If you are experiencing a medical or mental health emergency, contact emergency services (911) immediately.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice on our platform at least 30 days before the changes take effect. Your continued use of the Services after the effective date constitutes acceptance of the updated policy.
